What Information Does A Forwarding Agent Need?

A smooth delivery

To make sure that everything goes smoothly right from the start, we’ve put together a checklist of basic information that forwarding agents require to export your goods:

  • Destination address: Preferably including the post code or zip code

  • Weight: Total consignment weight and, where relevant and possible, individual weights

  • Size: Total cubic metres of the consignment plus sizes of individual goods

  • Nature of goods: Inform the forwarding agent of hazardous or dangerous goods or if the goods require special treatment e.g. frozen goods.

  • Terms of sale: Always use INCOTERMS

  • Insurance: Is insurance required? If so make sure that you and the forwarding agent are aware of who is responsible for arranging the insurance – the exporter, importer or forwarding agent

  • Letter of credit: Make the forwarding agent aware if a letter of credit is involved

  • Service required: Make sure the forwarding agent is aware of any urgent deadlines or if you have a preference as to how the consignment should be sent e.g. air, road, sea

  • When available: Let the forwarding agent know when the goods are available for collection and dispatch e.g. immediately, tomorrow, next week

  • Where available: Give the forwarding agent the full address of the location from which the goods can be collected for dispatch
